Poste proposé : Financial & Administrative Assistant

Under the direct supervision of the the Burkina Faso Representatives, The function and tasks include the following:

Detailed Financial Management Responsibilities:

  • Under the supervision of the Reps the worker is tasked with the following:
    • Prepare all daily financial transactions and check documentation (supporting documents).
    • Assist the Rep in budget preparation and monitoring.
    • Manage  bank account activity weekly and monitor all account balances.
    • Manage  cash boxes and perform weekly cash counts.
    • Prepare cash advances to all International Service Workers for general living expenses.
    • Prepare cash advances to all National Staff for  work expenses.
    • Review Personal Maintenance Reports (PMRs) from International Service Workers and financial reports from National Staff before submitting reviewed reports to the Reps.
    • Enter all financial data into FASWin (accounting software).
    • Complete monthly FASWin reconciliations for all bank accounts, cash boxes, International Service Worker PMRs and National Staff financial reports.
    • Maintain knowledge of local laws related to finance and financial practices and policies.
    • Work closely with  partners in preparing and reviewing financial reports as required following the  templates. The reports will be placed in the PlanWin database.
    • Aid in building the capacity of all  partners and work at maintaining strong relationships by giving financial advice, direction and counsel. 
    • Assist in the preparation of payroll, tax payments and reports as required by local law.
    • Assist the  Rep in the financial audit of  partners and regular financial reviews.
    • Ensure honesty and financial integrity.

Detailed Administrative Responsibilities:

  • Under the supervision of the Reps the worker is tasked with the following:
    • Provide logistical support for meetings, travel, visas, and purchases of office supplies.
    • Assist International Service Workers with logistics related to housing and maintenance.
    • Communicate with partners to organize project visits and meetings.
    • Prepare official  letters for a variety of purposes.
    • Provide input into personnel policies and procedures.
    • Work with National Staff related to medical reimbursements.
    • Participate and contribute to new International Service Worker and SALT/YAMEN Orientation as well as support for cultural adjustment throughout their terms.
    • Participate in  partner gatherings and workshops, especially those related to finance.
    • Assist in maintaining office records.
    • Receive visitors and respond to inquiries.
    • Respect work hours - be on time.
    • Perform other duties as designated by the MCC Reps.
Profil recherché pour le poste : Financial & Administrative Assistant

Qualifications:

  • University Bachelor’s degree (accounting and/or financial management preferable).
  • 3-5 years of experience in the field of finance.
  • Fluency in French and English (speaking and reading).
  • Strong organizational skills and proven time management.
  • Strong communication skills.
  • Excellent IT literacy and internet skills including specific knowledge of the Microsoft Office Suite.
  • Close attention to detail.
  • Initiative to work independently.
  • Ability to relate to a wide variety of people including government officials, other NGO personnel, church leaders, and believers of other faith traditions.
  • Understanding of professional confidentiality.
  • Ability to be flexible yet focused in situations of organizational change while managing a variety of tasks.
  • Applicants with a commitment to a long-term position with MCC Burkina Faso preferred.
